SPSP Frequently Asked Questions

This page answers some frequently-asked questions about Star Party registrations, payments, late registrations, cancellations and refunds. Note that we will not be allowing any on-site registrations.
Please look through the FAQs below and, hopefully, you will find the answer you are looking for.

Q6. It says registrations have closed or the event is full. Can I still register?
Q7. I contacted the treasurer a couple of days ago and now the website says that the event is full. Will I still be able to come?

Q8. I registered and paid, but can't come. Can I get a refund?
Q9. I registered and paid for T-shirts, but I couldn't come. What happens to the T-shirts?
Q10. I registered, but chose "Pay later" and then something came up and I don't plan to attend. Do I have to do anything?

Q1. How do I know if I have registered?

A. You will receive a confirmation email from "Astronomical Society of NSW <donotreply@asnsw.com>" when you have successfully registered. The subject line will begin with: "Your Registration". If you don't see the email, please check your JUNK or SPAM folder! You can also log into the website and see your registration online under "My Events". This applies for both ASNSW Members and non-members (who set up a user name and password at registration).

Q2. I have already registered, but I want to add another family member.

A. Contact the Treasurer to have the name added to your family's registration. You may also be asked to go online to update some information. (It's a new system, so not all the answers are available at the time of writing.)

Q3. I have already registered my family, but now I want to register and pay for our friends.

A. You can't add non-family members to your own registration. You can easily register someone else. Simply log out of the site, navigate to the registration page with the menus and register your friends. They won't receive the member discount. The system should, however, allow you to use your own email address for confirmation purposes. You will also be able to pay for your friends online using your credit card in the Payment Gateway, or you can choose "Pay Later" if you want to forward the emailed invoice to them. They will have to pay within 7 days or the registration will lapse.

Q4. I thought I had registered and paid with my credit card, but I didn't get a confirmation email. What went wrong?

A. It may take up to 20 minutes for the email to come through, but also check your SPAM or JUNK folder. If you check there and you still can't find it after 30 minutes, contact the Treasurer AS SOON AS POSSIBLE  to see if your registration made it into the system. You may have just made a typo in your email address!

Q5. I chose to "Pay Later". How does that work?

A. Your confirmation email will have bank account details so that you can make an electronic funds transfer (EFT) from your online banking. You MUST pay by EFT within 7 DAYS of your registration, or you registration will lapse and your tickets will be sold to someone else. NO cheques, NO posting a money order. Remember, the event sells out in about two weeks.

Q6. It says registrations have closed or the event is full. Can I still register?

A. Most likely, the answer is NO, unless you wish to add a family member or have some other special circumstance. You may contact the Treasurer to enquire, but please bear in mind that, if you really wanted to come, you needed to register early. Also note that there are NO ON-SITE REGISTRATIONS so, if you have not successfully registered in advance, you will be refused entry. There are NO tickets at the gate.

Q7. I contacted the treasurer a couple of days ago and now the website says that the event is full. Will I still be able to come?

A. If the treasurer noted your details and said that you were registered, you have already been included in the numbers, so you should come.

Q8. I registered and paid, but can't come. Can I get a refund?

A. Our policy is to allow refunds if you notify the treasurer with at least two weeks' notice before commencement of the event. After that date, it depends on circumstances. If you just changed your mind or didn't show up, a refund is not allowed. If you suffered a genuine extenuating circumstance, then it is most likely that a refund will be allowed. These situations are taken on a case-by-case basis.

Q9. I registered and paid for T-shirts, but I couldn't come. What happens to the T-shirts?

A. We can post the T-shirts to you. The treasurer will send an email to both you and the merchandise officer to determine if you want the T-shirts mailed, and to check your mailing address. Please respond to that email when it arrives, so that we know your requirements.

Q10. I registered, but chose "Pay later" and then something came up and I don't plan to come. Do I have to do anything?

A. Yes, please, as a courtesy, email the Treasurer to advise you aren't coming so that you can be removed from the pending registration list and allow space for someone else.
