c) Unlocking the Main Shed, Store Rooms, Amenities, BGL

All doors are considered to be emergency exits and should be unlocked.

1. The Breezeway split door is never locked. Check that it can open.
2. Unlock:

  • the Roll-a-Door
  • the Main Shed door off the Breezeway, and
  • the side door of the Main Shed.

3. Unlock the Store Rooms. All Store Room doors should be unlocked.
4. Unlock the toilets and showers in the “Ladies” and unlock the padlock on the “Gents”.
5. Check with admin if unsure which keys unlock these doors.
6. Unlock Barry Gerdes Lodge. The full instructions for setting up BGL are on a laminated card in a pamphlet stand as you walk in the door.

d) Pavilion and Tents

  • The 10m x 15m Pavilion is set up with windows on the long walls and solid panels on the short walls. It is set 5m away from the Meeting Hall with the top corner at the metal pin in the ground painted blue or white. The Pavilion doorway is opposite the breezeway. An internal part-wall screens off the Scouts’ cooking area. One panel is left open at the end on the top corner for the Scouts’ caravan.
  • The Check-In Tent is sited facing the amenities blocks at the end of the Pavilion, with the Image Processing Pit backing onto it. This arrangement protects the Check-In crew from the southerly wind. It is set back from the front edge of the Pavilion to allow extra room for people waiting, and still allow access for others to get past on the way to the Main Shed.
  • The Check-In Tent and Image Processing Pit are supplied with a wooden floor to reduce dust. The Pavilion is not supplied with a floor, as it can become very slippery at the doorway if we have wet weather.

e) Tables for the Scouts

The Hire company will have left 15 tables in the Pavilion. Five of these need to be reserved for the Scouts. The pavilion should be set up with a half-wall for the cooking area and an open panel for the Scouts caravan. Arrange three tables against the walls in the Scouts’ cooking area (one at the end and two against the half-wall) and two in the serving area, one against the Pavilion wall at the open (caravan) end of their area and one goes across the opening, leaving a gap for crew access.

f) Furniture for the Check-In Tent

1. The desks normally occupy the Main Shed. Remove drawers from the black desk to lighten the load and move both desks to the Check-In Tent.
2. Likewise, move the rolling drawers to the Check-In Tent.
3. Set up

  • the two desks (across the front, about 30cm back from where the wall will be when closed),
  • four tables (ends and rear) and
  • the clothing rack (stored in the Store Room Alcove), which goes at the front against the end wall at the corner opposite the desks.

4. Replace the drawers in the black desk and the rolling drawers.

g) Furniture in the Main Shed

The changeovers require a large team for a short period of time. Usually, an announcement is made on the PA and anyone who is handy will pitch in and help (no skill or experience required). Chairs and tables need to be rearranged at these approximate times:

  • Friday evening after the talks: Stack the chairs and put out tables around the sides of the Meeting Hall, with room behind for the vendors to set up for the Saturday Morning Astronomy Bazaar.
  • Between 12 noon and 1pm on Saturday: Fold the tables and store outside the Main Shed against the wall facing the driveway. Set out the chairs in rows with an aisle down the middle of the room, as marked out by the black tape on the floor in preparation for the Saturday Afternoon Presentations.
  • Between 4.15pm and 5pm on Saturday: Stack most of the chairs and put out the tables in preparation for the Roast Dinner. Arrange 10 chairs per table (four either side and one at each end if rectangular tables are used).
  • After the dinner on Saturday evening: Stack the chairs and put out tables around the sides of the Main Shed, with room behind for the vendors to set up for the Sunday Morning Astronomy Bazaar and Mighty Swap Meet.
